Guidelines for Posting Technical Society Meeting Announcements
on the ChaTech List Server.

The ChaTech list server currently posts to some 350 people in the Chattanooga area who have an interest in local events of technical nature and who have requested to be on its distribution list. If you would like to post your technical society’s meeting announcements on ChaTech, please follow these guidelines. Submit your announcement as the body of an e-mail message. You may use plain text, rich text (easiest to work with) or HTML formats. Do not include any attachments. Submit the e-mail to chatech@chattanoogaengineersclub.org. Include no other recipients. Use the ‘Subject:’ line to describe the nature of your announcement (e.g. “IEEE Computer Society Meeting”) Begin your message with a header that identifies your organization. If your organization typically identifies itself with an abbreviation, note that many on the ChaTech distribution list may not be familiar with its meaning. Thus also spell it out. Describe what this announcement is all about (a monthly meeting announcement, a notification of a course offering or an important news item). If it’s a program meeting, provide these opening bullets: The program topic or subject The speaker’s name and title (very brief) When the meeting will take place (be nice and also give the day of the week) Where the meeting will take place Who is invited? Will all the recipients of this announcement be welcomed to the meeting? Provide a brief description of the program. Make it interesting! Tell people why they should attend and how the topic could benefit them. Get an editorial review from a critical eye before you consider your description final. If you know of someone who is not familiar with the topic but finds your write-up so interesting they want to attend - then it is well written. Provide a brief description of the speaker’s background. Describe only those traits that convince the reader that this speaker is qualified to speak on the topic. Remember, people come to hear about the topic, not the speaker. Provide some brief directions on how to get to the meeting location. Be clear as to whether reservations are required. If costs are involved, explain what they are. Provide a point of contact for anyone who needs further information. Specifically, include a name and phone number. An e-mail address will also be helpful. If practical, also provide an alternate point of contact in case the first person cannot be reached.
